Youth Services Division Communications Plan

Division
  1. Bureau chief meetings: daily; weekly; monthly; by phone or in person as needed.
  2. Youth Services Division Meetings at least twice per year.
  3. Central office staff meetings quarterly.
  4. Bi-annual meetings between parole staff and facility staff, including superintendentsand bureau chief.
  5. Semi-annual facility all-staff meeting attended by administrator.
  6. Random drawing of two division employee names per week in order to schedule one-on-one calls with the administrator to discuss anything relevant to the emlpoyee. This will allow for communication with over 100 staff per year.
Pine Hills Youth Correctional Facility
  1. Weekly
    1. Monday A.M. status meeting
    2. Management team meeting (Wednesday)
    3. Team Treatment team meeting (Thursday)
    4. Case progress reviews (Thursday)
    5. Unit manager meeting (Friday)
    6. Clinical meeting
    7. Problem-solving meeting

Youth Community Corrections
  1. Bureau Chief monthly calls with each individual JPOII and Financial and Program Services Supervisor
  2. Parole meeting two times per year
    1. One time includes RPA and Helena Staff also
  3. Policy meeting at least two times per year
    1. Extra video conferences if necessary
  4. Re-entry meeting two times per year
  5. RPA monthly conference call with Financial and Program Services Supervisor
  6. RPA in person two times per year with Financial and Program Services Supervisor
  7. Central Office YCC staff meetings monthly
  8. Bureau Chief visit to each region at least once a year
  9. Daily conversations and e-mails as needed
Riverside Youth Correctional Facility
  1. Management/supervisor meeting - monthly
  2. Teachers/principal meeting - monthly
  3. All COs and supervisors - every other month
  4. All staff - bi-annually
  5. Labor/managment committee - quarterly
